International Cancellations Policy for Institute 2025

NASCO works to make this conference affordable, but we operate on thin margins. Last minute cancellations represent a real loss for us, and make it harder for us to make the conference accessible in the future.

For international attendees:

NASCO is happy to write an invitation letter for your attendance at NASCO Institute. This letter will include the dates and address of the event, as well as confirming that you are not being paid to attend. Please contact institute@nasco.coop by October 15th to request an invitation letter. You must request this - we will not send it automatically. Please note: it is at the discretion of US Customs and Border Protection whether to admit someone to the US, and while we hope that our letter of invitation will support that, we can’t guarantee that they will consider it adequate.

The cancellation policy for all attendees is:

Cancellations made on or before October 26th, 2025 are eligible for a full refund. Cancellations made after October 26th, 2025 are not eligible for a refund.

If cancellation is due to covid or covid-like symptoms please reach out to our staff and you will be refunded minus a $50 fee to cover non-refundable costs.

For international attendees (those who will be crossing a border to attend), we have the additional cancellation policies for after October 26th:

If, after October 26th, the border is closed to people from particular countries (which were not previously barred), attendees from those countries may cancel without penalty until November 7th. After November 7th, they may cancel and receive a refund minus $50 of nonrefundable fees.

If, after October 26th, the US announces or implements any not previously announced visa requirements (including application deadlines/wait times, fees, or supporting material) not in place as of October 26th, an attendee who would be required to comply with those requirements may cancel without penalty until November 7th.  After November 7th, they may cancel and receive a refund minus $50 of nonrefundable fees.

If the attendee has submitted any relevant applications or paperwork for their attendance by October 26th (or earlier, if the government provides an estimated processing time of longer than three weeks), but has not received the necessary visa or other documentation by November  7th, they may cancel and receive a refund minus $50 of nonrefundable fees.
